Transfer Terms.
The practical details of our MiniDisc, DAT and CD service. Version 4 · 5 September 2026.
1. The service
We transfer MiniDiscs, DAT tapes and audio or data CDs. A standard transfer preserves the accessible source recording or files; restoration, detailed track preparation, legacy-format conversion and other special work must be agreed separately. You must own the material or have permission for it to be copied.
2. Prices and quotes
Prices are in GBP: £13 per MiniDisc or CD and £16 per DAT tape for straightforward playable or readable media. Digital download is included. More than 10 source items in total, known faults, special requirements and unconfirmed delivery costs are quoted individually. The checkout shows the total for a standard order before payment; optional extras are never selected for you.
3. Ordering and payment
Review and correct your details before choosing card payment through Stripe or PayPal. Standard orders are paid at checkout; quote enquiries do not take payment. A provider cancellation or return to this site does not itself confirm payment. Keep the payment confirmation and order reference. Please obtain our sending details before posting media. We confirm the service and schedule with you, and contact you if the order cannot proceed as placed. We do not charge extra work without your agreement.
4. Packing and shipping originals
Use individual cases where possible, adequate padding and a strong outer package. Include your name, email and order reference, with a list of items. We recommend tracked delivery appropriate to the value of the originals. Retain the tracking details and a record of what you send. Tell us before posting anything that needs particular handling. Return delivery is optional and quoted separately.
5. Inspection, cleaning and repair
We handle media carefully and inspect it before playback or reading. Tape mould, physical damage or mechanical faults may need cleaning or repair first. We contact you to explain the issue, the proposed work and any additional charge before proceeding. We cannot promise recovery of missing or damaged content. If a paid transfer cannot be completed as agreed, we discuss the available options and any refund due; we do not automatically substitute a different service.
6. Files and physical copies
Audio delivery is WAV plus MP3 listening copies as standard. Data CD transfers preserve recovered files in their existing formats. Alternative formats, Broadcast WAV metadata, disc images and conversions are agreed individually. Digital download is included. A USB drive is an optional £8 delivered, and one audio CD listening copy is £3 posted, including UK postage. One listening disc holds up to 80 minutes. Extra discs, non-UK delivery and other special arrangements require a quote. Return postage for your original media is separate.
7. Your own delivery media
If you want to supply a USB drive or hard drive, agree its suitability with us first. Back it up and use blank media wherever possible. Tell us which operating system and filesystem you require. Any formatting or erasure needed must be agreed before we proceed.
8. Confidentiality
We treat your recordings and project information as confidential. We don’t publish, share or use your material for publicity without your permission. If your archive contains commercially sensitive or unreleased material, let us know before sending it so we can agree any specific handling and delivery requirements.
9. Review and retention
After transfer we retain your original media securely for 30 days so you can review the files and request return. Postage is charged separately. We agree arrangements for originals you do not wish to have returned and do not interpret silence as permission to destroy them. Download, check and back up your files promptly. Contact us about any problem as soon as you can; this review window does not limit your statutory rights. Download availability is stated on delivery; this is not an indefinite file-storage service.
10. Cancellation
If you order as a consumer at a distance, you generally have 14 days from making the service contract to cancel. Email polartransfers@gmail.com with your name and order reference and a clear statement that you wish to cancel. You may use the cancellation wording below, but do not have to. We ask separately whether you want work to begin within that period. If you expressly request an early start and then cancel, a proportionate charge may be due for the service supplied. You lose the right to cancel once the service is fully performed only where you have expressly requested the early start and acknowledged that consequence. Otherwise, we wait until the cancellation period ends. We handle refunds due under your applicable rights; these terms do not exclude those rights.
11. Queries and complaints
Email polartransfers@gmail.com with your order reference, the item concerned and a description of the issue. We’ll review it with you and agree the appropriate next step. We provide the service with reasonable care and skill. Nothing here limits liability that cannot lawfully be limited or replaces your statutory remedies.
