What we need to arrange your transfer, and how we use it.

Contact and order details

Polar uses your name, email, project details and, where needed, delivery address to answer enquiries, arrange transfers, take payment and deal with questions about your order. We use this information to take steps at your request and perform our contract with you, and retain records where needed for accounting or other legal obligations.

Recordings and confidentiality

We treat your recordings and project information as confidential. We don’t publish, share or use your material for publicity without your permission. If your archive contains commercially sensitive or unreleased material, let us know before sending it so we can agree any specific handling and delivery requirements.

Recordings are supplied separately from this order form. Agree any requirements for sensitive content before sending it; please do not put confidential recording content in the checkout notes.

Payments and website services

When online checkout is enabled, the website’s hosting service stores order details securely on the server. Your selected payment provider, Stripe or PayPal, handles payment details on its own checkout. Polar does not receive or store your full card number. We send the provider the order reference, amount and information necessary to arrange payment and any delivery. Each provider also processes information under its own privacy notice.

Email enquiries and local preview

An email enquiry button prepares a draft in your mail app. It sends only when you choose to send it there. The downloadable local preview does not submit orders or take payments. During online checkout, this browser stores a temporary order reference to let you return to the same payment attempt; it is not used for advertising. This site does not include advertising trackers or analytics.

Retention and your rights

Order and correspondence records are kept for as long as needed to fulfil the service and meet applicable legal obligations. The 30-day review window concerns physical originals; the availability of transferred files is confirmed on delivery. You may ask about your information or request access, correction or deletion by emailing polartransfers@gmail.com. Some records may need to be retained by law. You can also raise a concern with the UK Information Commissioner’s Office.
